Pre-launch notice. This notice describes the current beta architecture and is prepared for counsel review before commercial launch. Signed customer terms and processing instructions take precedence for agency workspace data.

Scope and roles

This notice covers Entekka's public website, waitlist, account administration, support conversations, and the Entekka agency workspace. Entekka is based in Greece.

Entekka is the controller for information collected directly for the website, waitlist, account administration, security, and support. When an agency uses Entekka to manage its own player, club, contact, contract, and operational information, that agency normally decides why the information is used and Entekka acts as its processor. The applicable agency privacy notice and signed data processing terms also apply in that context.

Information we handle

Depending on how you use Entekka, the service may handle:

  • Contact details, waitlist email, support messages, and rollout enquiries.
  • Account identity, organization membership, role, and sign-in information.
  • Agency workspace records such as players, clubs, contacts, requests, deals, contracts, documents, reminders, notes, and activity history.
  • Technical information needed to operate and secure the service, including request logs, device or browser details, approximate location derived from network information, and performance measurements.
  • Aggregated website analytics and web performance measurements that are not designed to identify an individual visitor.

Agency customers must not add medical, youth-player, or other sensitive information unless they have an appropriate legal basis, authority, and access process for doing so.

Why we use information

We use information to:

  • Provide, configure, support, and improve the Entekka service.
  • Authenticate users and keep organization data scoped to the correct workspace.
  • Respond to enquiries, manage the waitlist, and plan a requested rollout.
  • Detect misuse, investigate faults, and protect the service and its users.
  • Meet legal, accounting, and regulatory obligations.

The legal basis depends on the context. It may be performance of a contract or steps you request before a contract, Entekka's legitimate interests in operating and protecting the service, consent where required, or compliance with a legal obligation. Agency customers determine the legal basis for the workspace content they control.

Service providers and transfers

Entekka currently relies on a limited set of service providers:

  • Clerk for identity, authentication, and organization membership.
  • Supabase for hosted database and file-storage infrastructure.
  • Vercel for hosting, delivery, aggregate web analytics, and performance measurements.

These providers may process information in countries outside the European Economic Area. Where EU data protection law requires it, Entekka uses the provider's applicable transfer safeguards and contractual terms. Configuration and transfer details can be reviewed during rollout and recorded in a signed DPA.

Retention and security

We keep information only for as long as it is needed for the purpose described above, the agency's instructions, an active agreement, dispute handling, security, or a legal obligation. Workspace retention and deletion rules are agreed during rollout. Provider backups and logs expire under the relevant provider schedules.

We use authentication, organization-aware access checks, restricted administrative access, and provider security controls to protect information. No online service can promise absolute security. See the Security & Trust Centre for the current posture and certification status.

Your rights

Subject to the conditions in the GDPR, you may ask for access, correction, erasure, restriction, portability, or object to certain processing. You may withdraw consent where processing relies on consent. Entekka does not use personal information to make solely automated decisions that produce legal or similarly significant effects.

Email alex@entekka.ai to exercise a right or ask a privacy question. We may need to verify your identity and, for agency-controlled workspace data, route the request to the relevant agency.

You may also complain to the Hellenic Data Protection Authority or another competent EU supervisory authority.

Changes and contact

We will update this notice when the service, providers, or legal requirements materially change. The date at the top shows the latest revision.
